What Information to Include in a Bearing, Machining or Tooling RFQ

Most enquiries that take a long time to quote are not difficult jobs. They are jobs where the technical information arrived in pieces: a part number with no application, a photograph with no dimensions, a drawing with no quantity. Each gap costs a round of questions before anyone can assess feasibility, and those rounds are usually where the lead time actually goes.

This article sets out what a maintenance, reliability or procurement team should gather before sending a bearing, machining or tooling requirement, so the first technical response is an answer rather than a question.

What happens to your enquiry

The route is short. The form confirms receipt. The relevant engineering team then reviews the information and identifies any missing technical details. Only then can Shaheen Arabia respond with the next technical question, a feasibility position, a quotation or lead-time information as applicable.

The middle step is the one worth optimising. Everything you can answer before it is a step the enquiry does not have to come back for.

What every enquiry needs

  • Requirement type — white metal bearings and rotating equipment components, precision machining and fabrication, cutting tools, or automation
  • Service required — manufacture, refurbish or repair, regrind, reverse-engineer, inspect or consult
  • Quantity, material, dimensions and tolerances — as far as they are known
  • Application and operating conditions — the machine the part works in and what it does there
  • Required timeline — including whether the equipment is down

Attach what you have: drawings, photographs, datasheets and approved CAD or PDF files. If there is no usable drawing, say so rather than waiting until one can be found. Where a component is obsolete or supplied without a drawing, the sample itself can be inspected and the dimensional information developed from it.

If it is a bearing or rotating equipment component

Shaheen Arabia’s bearing scope is the component, not the overhaul of the complete turbine, pump, compressor, motor or generator. State which component it is, and what it sits inside.

Worth including

  • Component type — journal or sleeve bearing, thrust bearing, tilting-pad, pressure-dam, thrust and journal pads, or a seal, deflector or end cap
  • The equipment it serves — turbine, gearbox, generator, fan, motor, compressor, pump or diesel engine
  • Whether you need a new component manufactured or an existing one refurbished
  • For a refurbishment, the condition of the part as it comes off the machine

Condition matters more than it looks. The lining or repair process — centrifugal casting, static casting or GTA application — is selected according to the bearing design, geometry, existing condition and technical requirement, so a photograph of the damaged surface often moves the review further than a paragraph describing it. Manufactured and refurbished bearings are backed by an 8,000-working-hour / one-year warranty, subject to applicable warranty terms.

If it is machining or fabrication

Send the drawing, the sample or the failed part. Add the material — carbon and stainless steels, duplex, aluminium, brass, copper, engineering plastics or an application-specific grade — along with quantity and tolerances.

One practical note. Core machining, fabrication, welding and inspection are managed in Jubail, while some complementary processes such as CMM inspection, wire EDM, laser or waterjet cutting and 3D printing are coordinated through Falcon Group or approved specialist partners. If your requirement depends on one of those, saying so up front lets the route be confirmed in the first review.

If it is a cutting tool

Tooling performance depends on the relationship between tool geometry, material grade, cutting conditions, machine capability and the workpiece. An enquiry that names all five can be engineered; one that names only a tool diameter usually cannot.

  • The workpiece material and the operation the tool has to perform
  • Machine, holder and the cutting conditions you run
  • Whether you need a new tool, a modified design, or a worn tool regrinding
  • For a regrind, the tool’s current condition — a tool pulled on schedule is far more recoverable than one run to destruction

Tools can also be reproduced from a drawing or a physical sample, either as an approved duplicate or as a modified design developed to improve performance for the stated application.

The short version

What the part is, what it sits in, what it is made of, what it has to hold, what happened to it, how many you need and when. Everything else is detail.
